Inviting Staff
How to invite team members to your GolfCartOps account and assign them to locations.
Adding staff to your GolfCartOps account is straightforward. Invite them by email, assign a role, and they will be up and running in minutes.
Sending an Invitation
- Go to Settings > Members in the sidebar
- Click Invite Member
- Enter the staff member's email address
- Select their organization role (Admin or Member)
- Click Send Invitation
The invitee will receive an email with a link to create their account. Once they accept, they automatically appear in your team roster.
Assigning to Locations
After a staff member has joined your organization, assign them to specific locations:
- Navigate to Locations and select the location
- Open the Staff tab on the location detail page
- Click Add Staff Member and select the person from your team
- Choose their location role: Manager, Staff, or Driver
- Save the assignment
A team member can be assigned to multiple locations with different roles at each one. For example, someone could be a Manager at your main shop and Staff at your satellite kiosk.

Managing Staff
From Settings > Members, you can:
- Change roles -- Update someone's organization role at any time
- Remove members -- Revoke access immediately when someone leaves
- Resend invitations -- If someone did not receive or lost their invite email
From the Location > Staff tab, you can:
- Change location roles -- Promote a staff member to manager or reassign as driver
- Remove from location -- Revoke access to a specific location without removing them from the organization
What Staff Members See
Staff members log in at the same URL as you. The dashboard automatically adjusts to show only the locations and features their role permits:
- Managers see the full dashboard for their location including pricing, reports, and staff management
- Staff see bookings, fleet, customers, and can perform day-to-day operations
- Drivers see only their assigned delivery routes in a mobile-optimized view
Tips
- Start with fewer permissions and grant more as needed
- Use the Activity Log (Settings > Activity) to see what actions staff members take
- Drivers do not need desktop access -- the driver view is optimized for phones
