Customer Portal Access
How customers access their self-service portal using magic link email login.
GolfCartOps provides a self-service customer portal where your renters can view their bookings, download rental agreements, and check delivery status. Customers access this portal using magic links -- no password required.
How Magic Links Work
- A customer visits the customer portal page
- They enter the email address they used when booking
- GolfCartOps sends them an email with a one-time sign-in link
- The customer clicks the link and is immediately logged in
- The link expires after use -- it cannot be reused or shared
This approach is ideal for rental customers who interact with your business occasionally and should not need to create yet another account with a password.
What Customers Can Do in the Portal
Once logged in, customers see a simple dashboard with:
- Active bookings -- Current and upcoming reservations with dates, cart details, and booking status
- Booking history -- Past rentals with receipts and invoices
- Rental agreements -- Download signed rental agreements as PDFs
- Delivery tracking -- If a delivery is in progress, a link to the live tracking page
- Contact information -- Easy access to your business phone and email for questions
When Magic Links Are Sent
Magic links are generated in two situations:
- Customer-initiated -- The customer visits the portal and requests a sign-in link
- Booking confirmation -- After completing a booking, the confirmation email includes a link to the portal
Security
Magic links are designed with security in mind:
- Each link is single-use and expires after being clicked
- Links expire automatically after one hour if not used
- The link only grants access to that customer's own data -- they cannot see other customers' bookings
- No password is stored or needed, eliminating the risk of password reuse or theft
The Customer Experience
From the customer's perspective, the flow is simple:
- They receive a booking confirmation email with a "View Your Booking" button
- Clicking it takes them straight to the portal, already signed in
- If they return later, they enter their email and get a fresh link in seconds
There is no sign-up form, no password to remember, and no account to manage. This keeps the experience frictionless for one-time and repeat customers alike.
Tips for Operators
- Include the portal link in your booking confirmation emails -- customers expect self-service access
- Let customers know to check their spam folder if they do not see the magic link email
- The portal is mobile-friendly, so customers can access it from their phones while on vacation
- Magic link emails come from your configured sender address, so make sure your email domain is properly set up to avoid spam filters
