Managing Your Subscription
How to upgrade, downgrade, update payment methods, and manage your GolfCartOps subscription.
Your GolfCartOps subscription is managed entirely from the Settings > Billing page. Here is everything you need to know about managing it.
Viewing Your Current Plan
Navigate to Settings > Billing to see:
- Your current plan name and monthly (or annual) price
- Your next billing date
- Payment method on file
- Recent invoices and payment history
Upgrading Your Plan
As your business grows, you may need more locations, fleet capacity, or advanced features. To upgrade:
- Go to Settings > Billing
- Click Change Plan
- Select your new plan
- Confirm the upgrade
Upgrades take effect immediately. You will be charged the prorated difference for the remainder of your current billing period. For example, if you upgrade from Starter to Professional halfway through the month, you pay half the price difference right away.
Downgrading Your Plan
If you need to scale back:
- Go to Settings > Billing
- Click Change Plan
- Select the lower-tier plan
- Confirm the downgrade
Downgrades take effect at the end of your current billing period. You keep access to all features until then. If your current usage exceeds the lower plan's limits (for example, you have 4 locations but are downgrading to Starter which allows 1), you will need to deactivate locations before the change takes effect.
Updating Your Payment Method
- Go to Settings > Billing
- Click Manage Payment Method
- This opens the Stripe customer portal where you can add, update, or remove credit cards
- Changes are saved securely through Stripe -- GolfCartOps never sees your full card number
Viewing Invoices
All invoices are available from the billing page. Each invoice shows:
- Billing period covered
- Plan name and amount
- Any prorated charges from upgrades
- Payment status (paid, pending, failed)
Click any invoice to download a PDF for your records or accounting.
Failed Payments
If a payment fails (expired card, insufficient funds, etc.):
- You receive an email notification immediately
- Stripe retries the payment automatically over the next few days
- If payment continues to fail, your account enters a grace period
- During the grace period, you can still access GolfCartOps but should update your payment method promptly
- After the grace period, your account is suspended until payment is resolved
To fix a failed payment, update your card in Settings > Billing > Manage Payment Method.
Canceling Your Subscription
If you need to cancel:
- Go to Settings > Billing
- Click Cancel Subscription
- Confirm the cancellation
Your access continues until the end of the current billing period. After cancellation, your data is retained for 90 days in case you decide to resubscribe. After 90 days, data is permanently deleted.
Free Trial
New accounts start with a 14-day free trial on the Professional plan. No credit card is required to start. During the trial, you get full access to Professional features. Before the trial ends, choose a plan and add your payment method to continue without interruption.
Tips
- Choose annual billing to save 20% if you are committed to the platform
- Keep your payment method up to date to avoid service interruptions
- If you are unsure which plan you need, start with Professional during your trial and evaluate from there
