Asset Types & Cart Configuration

How to set up cart categories, register individual fleet assets, and manage add-ons in GolfCartOps.

Your fleet is organized into asset types (categories) and individual fleet assets (specific carts). This two-level structure makes it easy to manage pricing, availability, and reporting across your entire operation.

Asset Types

An asset type represents a category of golf cart. Common examples include:

  • 4-Seater Standard -- Your basic rental cart
  • 6-Seater Premium -- Larger family cart with extra features
  • Street Legal LSV -- Licensed for road use with lights, mirrors, and seatbelts
  • Utility Cart -- For events or property management
  • Electric Bike -- If you rent other personal vehicles alongside carts

Creating an Asset Type

  1. Navigate to Fleet in the sidebar
  2. Click the Asset Types tab
  3. Click Create Asset Type
  4. Fill in the details:
    • Name -- The display name customers will see (e.g., "6-Seater Premium")
    • Description -- A short description for your booking page
    • Default seating capacity -- Number of passengers
    • Base daily rate -- The starting price per day (before seasonal or dynamic pricing adjustments)

Asset types set the defaults. Individual carts can override the base rate if needed.

Fleet Assets

A fleet asset is a specific cart in your inventory. Each one belongs to an asset type and a location.

Registering a Cart

  1. Go to Fleet and click Add Cart
  2. Select the asset type
  3. Fill in the cart details:
    • Name or identifier -- Something your team recognizes (e.g., "Blue Lightning", "Cart #14")
    • Year -- Model year
    • Color -- Helps staff and customers identify the cart
    • License plate -- If applicable for street-legal vehicles
    • VIN or serial number -- For tracking and insurance purposes
  4. Optionally upload a photo -- this appears on your booking page

Fleet Status

Every cart has a status that determines its availability:

  • Available -- Ready to rent
  • Rented -- Currently checked out to a customer
  • Maintenance -- In the shop for repairs or scheduled service
  • Reserved -- Held for an upcoming confirmed booking
  • Retired -- No longer in active service but kept for historical records

Status changes happen automatically when bookings are confirmed, checked out, or returned. You can also manually change status from the cart detail page.

Add-Ons

Add-ons are extras customers can include with their rental. Set these up from the Fleet section:

  • Rain cover -- $10/day
  • Bluetooth speaker -- $5/day
  • Phone charger mount -- $3/day
  • Child seat -- $8/day
  • Cooler rack -- $5/day

Each add-on has a name, description, daily rate, and optional inventory limit. Add-ons appear on your public booking page during checkout.

Viewing Your Fleet

The Fleet page offers two views:

  • List view -- A sortable, filterable table showing all carts with their status, type, and daily rate
  • Grid view -- Visual cards with photos, ideal for quickly scanning your inventory

Use the filters at the top to narrow by status, asset type, or location.

Tips

  • Use clear, recognizable names for your carts so staff can identify them quickly on the shop floor
  • Upload good photos of each cart type -- these appear on your booking page and significantly affect conversion
  • Set up your asset types before registering individual carts to keep things organized
  • Review retired carts periodically and remove them if they are no longer needed for historical reference
